Work from room access backward
Ask the accommodation what happens if you reach its entrance after midnight. A staffed reception, a remote door code and a key collected at another address are very different arrangements. Get the actual instructions and a working contact number, and confirm which night the reservation must cover. An arrival at one in the morning is not an early check-in for the following afternoon.
If you are relying on a message with a code, ask when it will arrive and whether it requires a live internet connection. Download the instructions before departure when possible. Save the building number, entrance description and any unit or floor information separately from the booking confirmation.
A landing time is not a city-arrival time
Allow for disembarking, border checks where applicable, baggage collection and the walk to transport. Instead of assuming a universal airport buffer, examine how the transfer would work if you leave the terminal later than expected. A final bus that connects with a metro which has already closed does not solve the journey.
Look up the date-specific last services on the operator's website. Some networks offer limited overnight routes, not an all-night version of the daytime network. London's official night-travel guidance is a useful example: the appropriate night bus or rail option depends on the route and day. Save the exact stop and destination, not just the route number.
Keep the first evening small
Put a basic snack, a charged phone and essential arrival documents in the bag you can reach easily. Check whether food is available near the lodging at your expected arrival time; do not count on the station café being open. Leave sightseeing and an ambitious dinner for another day.
Know the official taxi or licensed pickup arrangement if the planned service ends before you arrive. Establish a spending limit you are comfortable with, without pretending a quote will remain unchanged. If a major delay develops, tell the accommodation before its reception closes. The most useful late-arrival plan is a short chain of confirmed details, not a long itinerary that requires everything to run exactly on time.
